Cancellation, Payment and Refund Policy
This policy applies to privately billed appointments and online payments made to Mind Over Matter Psychological Services.
Appointment fees
Appointment fees are set out on our Services page or advised when the appointment is booked. Please confirm the applicable fee before making an online payment if you are unsure which appointment type applies.
Cancellations and non-attendance
Please provide at least 24 hours’ notice if you need to cancel or reschedule an appointment. Where less than 24 hours’ notice is provided, or an appointment is not attended, full-payment of the missed appointment may be requested before another appointment is scheduled.
We recognise that exceptional circumstances can occur. Any request to review a cancellation fee will be considered in the context of the circumstances and the practice’s professional and administrative obligations.
Online payments
Online payment does not create or reserve an appointment unless the appointment has already been booked or confirmed by the practice. If an incorrect appointment type or amount is paid, please contact us promptly.
Afterpay
Afterpay is a payment method only. Eligibility, approval, instalment arrangements, late fees and other Afterpay terms are determined by Afterpay. The full appointment fee remains the price of the service even where Afterpay divides the payment into instalments.
Clients should not use the website to pre-purchase multiple future psychology sessions. Treatment frequency and duration are determined by clinical need and the relevant treatment context, not by the availability of a payment method.
Refunds
If a refund is approved, it will ordinarily be processed back through the original payment method where practicable. Refunds relating to Afterpay transactions are processed through the Afterpay payment system and remain subject to Afterpay’s processing arrangements and terms.
A refund is not automatically available merely because an appointment is cancelled outside the practice’s cancellation terms, work has already been performed, or a report or other professional service has already been commenced or completed.
Reports and other professional work
Court, medico-legal and other report work may involve deposits, document review, assessment, psychometric testing, conferences, correspondence and report preparation. Fees and refundability depend on the stage of work completed and the terms provided for the particular engagement.
